HELP SHEET 25

INTRODUCING THE COLOUR HP SCANJET IIC SCANNER

First, make sure the pc and the scanner are both switched ON. The power switch for the pc is located at the front of the machine, where the floppy disk drives are located. The power switch for the scanner is located towards the back of the machine, on the vertical panel at the right hand side.

At the MS-DOS prompt D:\>, type, win. There will be a short delay, during which, the following message will be displayed on the screen:

"Please wait system files being copied..."

After the Microsoft Windows introduction screen has been displayed, you will be presented with the Program Manager window containing two main windows at the top, the one on the left entitled Main and the one on the right entitled DeskScanII, together with a row of icons displayed across the screen underneath the two windows. Move the mouse cursor inside the DeskScanII window and select the PhotoFinish icon. To do this, move the mouse cursor over the icon, and double click the left mouse button quickly in succession, OR move the cursor over the icon, press the left mouse button once and then press the large Enter () key. This is the basic principal behind menu or dialogue box option selection.

Place item you want to be scanned under the scanner cover, face down on the scanner surface.

When the PhotoFinish window is displayed, from the File menu, select Acquire.... You will see the screen display change into DeskScan II and a message will be shown on the screen with an accompanying rectangular box underneath. The message says Scanning the preview image and the rectangular box will fill with colour from left to right as the scanning process proceeds, with an indication of the percentage completed. When the process is complete, a copy of the item you placed on the scanner will be displayed in a box at the top and slightly to the right of the screen. Do not be alarmed if your colour image is initially displayed in monochrome (black and white), the final image will be displayed in colour (assuming the item was colour in the first place!).

When the image has been displayed, you can enclose an area of interest within a box, and then select Zoom. To do this, move the mouse over the scanned image and press the left mouse button. Then move the mouse cursor to the top left corner of the image, and while holding the left mouse button down, drag the box that will appear, down and to the right so that it completely encloses the area of interest. When you have done this to your satisfaction, select Zoom. A message and a rectangular box will again appear on the screen. This time the message will read Zooming the preview image. This will then display only the area of interest in the viewing window. To finish scanning and to create an image file, select Final . The message and box will again appear, this time the message will be Scanning the selected region to: PhotoFinish. You will now have to wait for the final scan of the image and for it to be displayed. Be patient - this may take some time ... 30 minutes or more - depending on the image complexity. A file will then be produced and the file name New-1.pcx (by default) will be displayed as a heading over the picture when it is finally displayed on the screen.

From the File menu you should now Save the file, OR select Save as..., and give the file the name of your choice, by changing the name in the File Name: box and then select OK. You can also, at this stage, change the File Type by making a selection from the List of Files of Type: box. The file formats available are as follows: ZSoft Image (*.PCX), Bitmaps (*.BMP), EPS (*.EPS ),

GIF (*.GIF), Targa (*.TGA) and PCX 16 Color/Gray. When you have made your choice, and selected OK, a message and rectangular box will appear on the screen. The box will indicate the progress of saving the file, and the message will read Saving d:\New-1.PCX (or reflect the name chosen for the file by you). The image on the front of this document was created and saved in the manner indicated, with no changes whatsoever. The file was saved as the default .PCX and was 565,893 bytes (ie approximately .5 of a megabyte) in size.

Inserting an Image into Word 2, and Printing on the Tektronix Phaser III printer

The picture on the front of this document was produced in the manner outlined above, and then inserted into a Word 2 document. To do this, leave PhotoFinish by selecting Exit from the File menu. The Program Manager icon will appear in the left bottom corner, select the Program Manager in the usual manner. From the resulting screen, select the Word for Windows 2.0 icon. Open... a file in Word 2.0, by selecting Open from the File menu, or create a New... file.

It is recommended that you leave some space, perhaps just one line, above where you want to insert the picture. From the Insert menu, select Picture.... From the Picture dialogue box, select the file from the list associated with the File Name: box. If the file is not listed there, you will need to change the Drive: name, if your file is on a floppy disk. When you have located the file, select OK. The picture will then be inserted into your word document at the location point of the cursor.

When you have inserted the picture into your document, you can edit the file by adding text or deleting existing text in the usual way. Remember to save you work, by selecting from the File menu, Save or Save As....

Colour Printing

Before you can send anything to the Tektronix colour laser printer you must first open an account with the Data Preparation office, room E33. Colour printing is charged at 25p per A4 copy and 50p per A3 copy. Multiple jobs are not allowed, and anyone sending multiple jobs, will have them taken off the queue, but will be charged for them. Output is placed in the output shelves by the operators in the usual way.

To have colour postcript output, the Tektronix Phaser III PXi printer must be selected from the File menu option, and then Printer Setup..., BEFORE the postscript file is created. Failure to do so will result in monochrome output. After the printer setup has been changed, and the postscript file created, on the d drive, the file can be sent to the Tektronix colour printer, using the command:

D:\> rprint d:\<filename.ps> a::-Ptekta4 login-name

The filename <filename.ps> should be replaced by your filename; -Ptekta3 should replace -Ptekta4 if you want A3 output, and the login-name should be replaced by your login-name. When you have typed the command, press the Enter () key, and when you are prompted for your password , type it in.
